Terms of Service for ClubVerse
Last Updated: October 11, 2026
1. Who we are and what these terms cover
ClubVerse is operated by Clubverse LLC ("ClubVerse", "we", "us"), which provides mobile applications and the website clubverseapp.com (together the "Service") that sports clubs, tournament organizers, players and spectators use to run clubs, events and tournaments. These Terms of Service (the "Terms") are a contract between you and Clubverse LLC. By creating an account or using the Service you agree to them and to our Privacy Policy. If you use the Service on behalf of a club or organization, you confirm you are authorized to bind it, and "you" includes that organization.
2. Accounts
- You must be at least 13 years old to have an account. Players under 18 take part in tournaments under the responsibility of their club and the adults who register them.
- Keep your sign-in details to yourself; you are responsible for what happens under your account.
- Club board members and tournament organizers act for their club or tournament. What they enter — rosters, results, fees, payment instructions — is theirs, not ours.
3. ClubVerse is a platform
Clubs run their own events and collect their own fees. Tournament hosts run their own tournaments and set their own entry fees, rules and refund policies. ClubVerse provides the tools; we are not a party to the arrangement between a club or host and the people who pay them, and we are not responsible for a club's or host's decisions, conduct or events. Section 4 explains how refunds work.
4. Card payments
Some fees can be paid inside the Service by card (including Apple Pay and Google Pay), Cash App Pay, or a debit from a US bank account. Payments are processed by Stripe, Inc. under Stripe's terms; your card and bank details go to Stripe, not to us. By paying you also agree to this section.
4.1 Fees paid to a club or tournament host
- Event fees, tournament entry fees, club membership dues and fine-wallet top-ups are paid to the club or host, who is the merchant of record for that payment. The payment is made through the club's or host's Stripe account, and the club's or host's name appears on your statement.
- Event fees, membership dues and fine-wallet top-ups: you pay the club's price plus a card service fee. The service fee covers Stripe's processing and payout fees and the ClubVerse platform fee, so the club receives its full price. The service fee is shown before you confirm the payment and on the receipt.
- Tournament entry fees: the paying club pays the entry fee exactly as the host listed it. Stripe's processing and payout fees and the ClubVerse platform fee are deducted from what the host receives, and the host is shown the amount it will receive when it sets the fee.
- A payment recorded in the Service is confirmed by Stripe. Clubs and hosts cannot mark it unpaid by hand; it changes only through a refund or a dispute, as described below.
4.2 Bank payments
- A debit from a US bank account may be offered for larger amounts. By choosing it you authorize the debit shown in Stripe's payment form.
- Bank payments take about 3 to 5 business days to clear. The item is marked paid when the money arrives; until then it shows as clearing and a second payment for the same item is refused.
- If your bank returns the debit (for example for insufficient funds), the payment fails and the item stays unpaid. Your bank may charge you for a returned debit.
4.3 Refunds
- Refunds are the club's or host's decision. They set the refund policy for their own events, tournaments, dues and fines.
- You can ask for a refund in the Service within 60 days of paying, from your payment history. The request and your reason go to the people who decide it: an event's payment managers, the tournament host, or the club's board. They approve or decline it; if they decline, they tell you why. You can ask once per payment.
- An approved refund returns the price you paid the club or host to the card or account you paid with, usually within 5 to 10 business days. The card service fee and the ClubVerse platform fee are not refunded. A tournament entry fee has no service fee, so the paying club gets the whole entry fee back.
- When a refund is issued, what the payment bought is undone: an event payment, entry fee, membership payment or wallet top-up is shown as unpaid (or the wallet is debited) again.
- If a club or host cancels a paid event, the event stays in the Service so its payments can be refunded. The host can refund everyone who paid at once, or decide each request.
- Automatic refunds. If a payment completes for something that was already paid another way (for example recorded as paid in cash while your bank payment was clearing), or that no longer exists (for example a tournament entry that was removed, or an event reply that was withdrawn), ClubVerse refunds that payment in full, including the card service fee.
- ClubVerse may also issue a refund itself, for example to correct an error or where required by law.
4.4 Disputes and chargebacks
- If you dispute a payment with your bank instead of asking the club or host, the bank decides it. While a chargeback is open the payment is shown as disputed.
- If the dispute is decided in your favour, what the payment bought is undone, as for a refund. If it is decided for the club or host, the payment stands.
- A bank inquiry that does not become a chargeback does not change the payment.
4.5 The tournament hosting fee and promo codes
- A club's board member or a tournament's organizer may be asked to pay ClubVerse a hosting fee to publish an interclub tournament on the Service. It is a service fee for hosting and running a real-world tournament through ClubVerse. The price is shown before you confirm.
- Once paid, the tournament is published immediately and the hosting fee is not refundable, including if the tournament is later changed, postponed or cancelled by the host.
- Promo codes. ClubVerse may issue promo codes that reduce or waive the hosting fee. A code applies only to the hosting fee, has no cash value, cannot be exchanged or combined, and is limited to one use per account unless we say otherwise. A code may have an expiry date or a limited number of uses, and we may withdraw or change it at any time before it is used. A code obtained or used in breach of these Terms is void, and we may charge the full hosting fee or unpublish the tournament. Repeated wrong guesses temporarily block further attempts.
4.6 Receiving payments (clubs and organizers)
- To receive payments, a club (through a board member) or an organizer either sets up a Stripe account through the Service or connects an existing Stripe account. Stripe collects the identity, business and bank details it needs. You must accept the Stripe Connected Account Agreement (or, for your own existing account, your Stripe services agreement), and you must comply with it and with Stripe's list of restricted businesses.
- Money paid to you is paid out to your bank account on Stripe's payout schedule for your account (currently weekly). A payment by bank debit is paid out after it clears.
- You are responsible for refunds, chargebacks and disputes on payments made to you. When a refund is issued on a payment made to you — whether you approve it, it is issued automatically under section 4.3, or ClubVerse issues it — or when a payment is disputed, you authorize ClubVerse to reverse the corresponding transfer to your Stripe account, in whole or in part, and to debit your Stripe account for:
- the refunded or disputed amount that was paid out to you;
- Stripe's dispute fee (currently $15) when a payment made to you is disputed. If the dispute is decided in your favour, the reversed amount and, where Stripe returns it, the dispute fee are returned to you;
- on a refund of a tournament entry fee, the processing and platform fees that were deducted from that payment, because those fees are not returned when the entry fee is refunded;
- and any shortfall, which you agree to repay.
- If you connected your own existing Stripe account, payments are made on that account: Stripe charges its fees to you directly and handles disputes on your account under your agreement with Stripe.
- You are responsible for your own taxes on money you receive. Stripe may issue tax forms (such as Form 1099-K) for your account, which requires a valid tax ID.
- You must describe what a fee is for accurately and must not use the Service to collect payments for anything other than your club's or tournament's genuine activities.
4.7 Errors and problems
If a payment is charged but not recorded, or recorded twice, contact us at [email protected] and we will correct the record or arrange a refund. We may withhold or reverse a payout while a dispute, suspected fraud or a breach of these Terms is investigated.
5. Content and conduct
- You keep ownership of what you post. You give ClubVerse a licence to store, display and share it within the Service as the feature you used implies (a roster is shown to the tournament, a chat message to the conversation).
- Don't post anything unlawful, abusive or infringing, don't impersonate anyone, and don't interfere with the Service or other people's use of it.
- Tournament and club pages can be public. Names, results and statistics on them are visible to anyone; the Privacy Policy explains what is and is not shown.
6. Advertising
Parts of the Service may show advertising. The Privacy Policy describes what that involves and your choices.
7. Text messages (SMS)
By providing your mobile phone number, you agree to receive text messages from ClubVerse at the number provided, sent using an automated system. Consent is not a condition of purchase. Message frequency varies. Message and data rates may apply. Reply STOP to cancel or HELP for help. For additional assistance, contact [email protected]. Carriers are not liable for any delayed or undelivered messages. See our Privacy Policy for how we handle your personal information.
8. Suspension and termination
You can delete your account at any time from the app. We may suspend or close accounts, clubs or tournaments that break these Terms, put others at risk or misuse payments. Sections 3, 4, 8, 9 and 10 survive the end of your account.
9. Disclaimers
The Service is provided "as is". We do our best to keep it available and accurate, but we do not promise that it will be uninterrupted or error-free, that results, statistics or rankings are correct, or that any club, host, event or tournament will take place as described. Playing sport carries risk; clubs and hosts are responsible for the safety of their events.
10. Limitation of liability
To the fullest extent the law allows, ClubVerse is not liable for indirect, incidental, special or consequential damages, or for loss of profits, data or goodwill, arising from your use of the Service. Our total liability for any claim relating to the Service is limited to the greater of the ClubVerse platform and hosting fees you paid us in the twelve months before the claim, or US $100. Nothing in these Terms limits liability that cannot be limited by law.
11. General
- These Terms are governed by the laws of the State of Texas, United States, and disputes will be brought in its courts, unless the law where you live gives you rights that override this.
- We may update these Terms. Material changes are announced in the app or by email before they take effect; using the Service after that means you accept them.
- If a part of these Terms is found unenforceable, the rest stays in force.
